What Happens After You Order Flowers from Welch?

You have chosen the flowers, written your message and placed your order. What happens next?

For a local delivery in one of Welch’s own vans, your order passes through several pairs of hands at our Stapleford base. There is a job sheet to prepare, a card to match, flowers to choose and a delivery to plan. Here is a look at the work behind that knock at the door.

First, your order becomes a job sheet

Website orders arrive in our Incoming Orders system, where the team can open the details and print a job sheet. We also send the delivery information to FarEye, the platform our drivers use.

Printing and processing the order is the beginning of its journey through the workroom. The flowers still need to be made, checked and matched with everything you have chosen.

A stop at our gifting section

Before the order reaches a florist’s bench, it goes to our gifting section.

This is where we bring together the gift card, its envelope and any extras. Labels from the job sheet match the delivery details to the envelope and your message to the card.

If you have added chocolates, a teddy bear, wine or champagne, those are organised here too. We use an in-house coding system so the team can identify which flowers and extras belong to each order.

Extras for orders booked ahead go into a box for the appropriate day. Same-day orders go onto the trolley for their delivery area, ready to follow the right route through the workroom.

It is a practical part of the process, but an important one. Your message and the little extra you chose need to arrive with the right flowers.

Choosing your flowers from the cooler

The florist takes the job sheet and selects the stems from our temperature-controlled cooler.

Our bouquet designs have required stems that help give them their particular look. Alongside those, the florist chooses complementary flowers in the colour tones you have selected.

There is judgement involved here. The florist checks the stems and considers how their shapes and colours will work together. They make the decisions at the bench, making sure the finished arrangement looks right before signing it off.

Building the design, stem by stem

Our bouquets and gift boxes are arranged in a container that sits inside the box and gift wrapping.

The florist starts with foliage, then builds the design with flowers. They check that the water is fresh and at the right level, and choose wrapping colours that complement the arrangement.

Once the flowers are finished, the florist marks the work off on the job sheet. That sheet helps keep the design connected to its card, extras and delivery details as it moves towards the van.

Checking the address and the small details

An incorrect postcode can send a delivery in the wrong direction, so checking postcodes is part of our work.

Useful delivery instructions matter too. Sometimes a customer phones or sends us a WhatsApp after ordering because they have remembered something that could help the driver find the address.

We can add those notes to the delivery platform. Even when the driver is already on the road, updated instructions can reach their phone and appear against the order.

If you need to add something, contact our team as soon as possible. Have your order number ready so we can find the right delivery.

Onto the van

When the driver collects the orders, they scan the QR code on each job sheet as the flowers are loaded.

The delivery platform helps organise the route, taking account of postcodes, morning deliveries and funeral times. This gives the driver a planned run with the order details and delivery notes available on their phone.

This part of the story applies to deliveries in Welch’s own vans. Orders travelling by DPD or through an Interflora partner florist follow different arrangements.

At the doorstep

The driver takes the flowers to the delivery address. If the recipient is out and the flowers are left with a neighbour, we leave a calling card so they know where to find them.

Once the driver confirms that delivery is complete, the customer who placed the order receives an email confirming that the flowers have been delivered.

For someone sending a birthday gift from another town, or arranging a surprise they cannot hand over themselves, that confirmation is a welcome part of the service.

More than making a bouquet

Choosing the flowers is the part most people picture. Behind it are our gifting section, the cooler, the job sheet, the organised extras and the delivery notes that help our driver find the right door.

Each has a part to play in getting your flowers, your message and your thoughtful extras to the person you chose them for.
